JOB VACANCY - EXECUTIVE SALES ASSISTANT
Pat O’Donnell & Co. is seeking an Executive Sales Assistant to report directly to the Directors of the company.

Excellent Communication Skills – verbal and written
Strong administration skills
Experience in a similar position
Proficient in management / enhancement of sales reporting tool / system
Ability to present concise reports whilst thoroughly examining data output
Capable of involvement in project work if and when required
High level of computer literacy specifically Excel, Word, Powerpoint, Outlook, Office 365, Web-enabled Apps and use of ERP systems
Experiencing in quotation, ordering and invoicing processes
Strong numeracy skills & ability to extract data from variety of sources
Process quotations, ensure supplier compliance with same and margin levels are in order
Submitting approved quotations to customers
Verifying all Acknowledgement of Orders from Sales Department
Processing machine orders with or without attachments
Processing attachment orders from national suppliers
Liaising with Financial Institutions; ensuring approved credit and payment
Invoicing on a monthly basis and preparation of VAT schedules
Weekly reports on stock, orders and deliveries
Monthly P&L reports
Build relationships across internal departments, suppliers and customers
Use and maintenance of ERP system
Dealing with personal and confidential correspondence for Directors
Manage a busy schedule, arranging meetings
Manage communications, filter e-mails, calls, etc… taking appropriate action, escalating or delegating accordingly
Maintain an organised document management process
Prepare and sense-check letters, memos, reports and presentations with a strong attention to detail
Prepare high quality presentations and materials
Support and co-ordinate projects and special assignments
